01 Know who you are hiring

Does the business on your quote match the business associated with the contractor’s license?

Compare the proposal’s business name with the official license record and its business association.

Have you checked the current license status and whether it covers the proposed work?

A license number printed on a proposal is a starting point, not confirmation.

Have you requested current insurance documents for the project?

Review coverage details and any vendor onboarding requirements.

02 Know what is included

Are the locations, quantities, work, and materials clearly described?

Look for named buildings, units or areas, and defined materials and finishes.

Are exclusions, allowances, and work by others clearly identified?

Know which costs are fixed and which depend on later decisions.

Are permit, inspection, and design responsibilities explained?

If none are needed, confirm who determined that and on what basis.

03 Know how work will move forward

Are payment amounts tied to clear milestones or deliverables?

The total price and payment schedule should be easy to follow.

Are the schedule, phases, and major dependencies explained?

Consider approvals, material lead times, access, and other trades.

Is there a written process for changes and unexpected conditions?

Clarify how added work, cost, and time will be approved.

Are access, occupant communication, cleanup, and closeout addressed?

Include resident or tenant coordination where relevant, plus the final walkthrough.

This is a checklist based on your answers. It does not read your proposal, determine a fair price, or independently verify licensing or insurance.
