Commercial renovation planning for owners and facility managers

Define the work around your property, operations and approval process.

Your project may need to satisfy an owner, a tenant, an operations team and a procurement process before construction begins. Advantage Installation helps commercial teams bring those requirements into the scope discussion early.

From tenant improvements to renovations of existing commercial space, start with the intended use, available plans, operational constraints and decisions still ahead. We are family-owned, serving Florida since 2004 and focused on Central Florida commercial and multifamily work.

PLAN FOR THE PEOPLE USING THE SPACE

A construction scope should include the operating context.

Owners and developers

Identify the intended use, base-building responsibilities, project budget and approval milestones. Clarify which work belongs to the owner, tenant, design team or other contractors.

Facility and operations teams

Document occupied areas, working hours, access routes, deliveries and any operational restrictions. Flag possible shutdowns or specialist requirements for review before scheduling assumptions are made.

Tenant and project representatives

Bring lease milestones, landlord requirements, available plans and finish decisions. Identify the people authorized to approve scope and changes so responsibilities are clear.

REDUCE UNANSWERED QUESTIONS

Five decisions that shape a useful commercial proposal.

Explain how the space will be used and which areas are changing. Share existing drawings, proposed layouts and known conditions.

Separate landlord work, tenant work, design services and work by other trades. Identify who is responsible for permits, inspections and approvals in the proposed scope.

List hours, occupied zones, access limits and any security or facility-specific procedures. Discuss how those conditions may affect sequencing and pricing.

Share your desired opening or completion date, lease milestones and approvals. Identify decisions or materials that could affect the sequence; a target date is not a confirmed schedule.

Ask for clear inclusions, exclusions, allowances, payment milestones and a process for reviewing changes. Provide your procurement requirements before proposals are finalized.

MEDICAL OFFICE & OTHER SPECIALIZED SPACE

Bring facility requirements forward.

If your project is in a medical office or another space with specific operational requirements, share those requirements and the available design documents at the beginning. Access, work hours, shutdowns, separation of work areas and specialist coordination may need additional review. The scope and suitability for each project must be evaluated individually.

MAKE THE NEXT CONVERSATION USEFUL

Prepare a commercial project brief.

Use the project planning brief to organize these details before you request a proposal. Keep sensitive facility information out of public forms.

  • Property address, intended use and approximate area
  • Available drawings, photos and landlord requirements
  • Owner, tenant, facility and approval contacts
  • Desired opening or completion milestones
  • Operating hours, access and known restrictions
  • Base scope, alternates and undecided materials
  • Vendor onboarding, insurance and bonding requirements

Questions from your decision team

Share the address, intended use, approximate area, available plans and the work you want to change. Include occupied areas, work hours, access rules, desired milestones, landlord requirements and any facility-specific procedures. Identify what is decided and what still needs review.

That needs to be evaluated against the actual work and operating requirements. Share areas that must remain accessible, working hours, delivery routes and possible shutdown restrictions. The team can then discuss sequencing, separation and whether the proposed approach is workable.

Include lease work requirements, available drawings and a written list of responsibilities in the scope review. Confirm which party handles each part of the work, approvals, permits and inspections. Resolve gaps or overlaps before comparing final proposals.

No. A target is a planning input. Scope development, approvals, permits, material selections, availability, site conditions and coordination can affect the schedule. Identify fixed milestones early and confirm a project schedule after the relevant dependencies are reviewed.
